Example: Using Screen Scrape Linking to retrieve Personnel Records
Consider you are working with a personnel records application, possibly following a pay review and you need to amend the salary for a particular employee. The internal process requires you to write a letter confirming the salary increase, and scan in the line manager's Employee Assessment Sheet into the TokOpen Folder for that employee.
Without Screen Scrape Linking enabled, you would switch to TokOpen, select Folder Search, specify the Personnel Drawer, select the required fields, for example Employee Number or Surname etc., complete the employees details, and press the [OK] button to perform the search.
If the folder did not exist, for example, the employee may be new and no Folder has been set-up within TokOpen's Personnel Drawer, you would need to use the [New Folder] option to create the Folder. The required index fields will need to be entered before you can create the letter and scan the Assessment Sheet.
With screen scraping the user simply presses the 'HotKey' within the personnel application, TokOpen automatically initiates a search for the employees folder and opens it, if the folder doesn't exist the user is asked if they wish to create it, and it is automatically created.
Clearly, TokOpen's Screen Scrape Linking approach is the simplest for the user.
Setting up TokOpen's Screen Scrape Linking is extremely simple requiring no programming or database knowledge. A typical screen scrape link can be defined in just a few minutes, which is subsequently available to all TokOpen users.
Other document management products integrate with other applications using coded database links. Screen Scrape Linking requires no code level integration, therefore the integrity of the target application is not in question, which allows TokOpen to safely integrate with both the simplest and extremely sophisticated applications, such as SAP.
The types of application that TokOpen can integrate with using Screen Scrape Linking include :
- Conventional Windows Applications with 'Forms' type layouts
- Spreadsheet Applications with rows and columns of data
- Legacy D.O.S Text based Applications
- Terminal emulation sessions to Mainframe / Mini applications
- A mixture of all the above
All Screen Scrape Link definitions apply system wide to all users of TokOpen, each TokOpen user may decide if they wish to use Screen Scrape Linking, and define what 'HotKey' they wish to use to activate it. The 'HotKey' can be a combination of keystrokes that the user prefers, which are not used by any of their other programs.
