The many reasons why you may need to import documents to TokOpen can be split into three main groups:
1. Importing documents that are outside TokOpen's control on the network.
TokOpen supports the ability to 'drag and drop' a file from the network into a TokOpen folder. For example, a file shown within Windows Explorer can be selected, dragged and dropped onto the required TokOpen folder. The screen shot shows an employee picture being indexed that has been dragged and dropped onto a secure personnel file. This document will now be securely stored alongside other related personnel records.
2. Importing forms that have been processed using a separate system.
Many organisations such as colleges and research companies use forms to collect data. Specialist applications such as Cardiff's Teleform product are used to read the data from these forms that is imported into other systems. Importing these same forms into TokOpen allows users to access them while working in other systems displaying the captured data.
For example, within the United Kingdom, college enrolment forms must be stored in student folders for 7 years. Using TokOpen's import facility and Screen Scrape Linking, enrolment forms can be automatically imported to the correct student folder and available on-line directly from the College Management Information System.
3. Importing documents from another document management system that TokOpen is replacing.
An increasing number of companies are upgrading to TokOpen from existing systems. Assuming the existing archive has been exported from the old system in the correct format the documents can be automatically imported to TokOpen.
