TokOpen is open which means it can manage any application by associating a Document Type with the application itself. Whether you are a specialist design house, work with colour documents, or for that fact any type of document, you can create the document directly from within a TokOpen folder. Index information, who is authorised to access the document and their privileges are requested when the document is created. This discipline ensures these documents are protected immediately they are created and never lost.
Creating a document is straight-forward and involves the user selecting the folder it is to be stored within. The example screen shows a Telephone Interview Form being created that will be stored within the Personnel Drawer. This is a Word document containing a template that is managed centrally by TokOpen.
If creating documents within TokOpen is considered a problem, the option is available to create them outside and import each into the correct folder by dragging the document from Windows Explorer across onto the correct TokOpen folder. Alternatively, if using Microsoft Office applications you can save documents directly into the required TokOpen folder while continuing to work within the application.
