TokOpen allows users to scan these documents immediately they are received using affordable scanners directly from their TokOpen Desktop. In fact, ad hoc scanning allows staff to remove their traditional 'in trays' and avoid piles of paper mounting on desks. Scanning paper immediately it is received also ensures it is never lost and other staff can quickly find these same documents.
Allowing staff to scan their own documents is a different process to the post room and volume scanning functions that require TokOpen Sorting Office. For example, a single letter received that relates to an invoice captured using Sorting Office is more efficiently scanned and saved into the same folder using TokOpen's ad hoc scanning. TokOpen also supports the privilege to add pages to existing documents already stored within a folder. Such an example would be a proposal received from a supplier that is scanned using Sorting Office, where the supplier forgot an addendum that is later delivered directly to the recipient's desk.
TokOpen's ad hoc scanning also supports the facility to browse the network and import image documents directly into a TokOpen folder. This is ideal for use with shared scanned devices, such as the Axis scan servers or digital copiers, when a few documents need scanning and manual indexing is acceptable. For volume scanning using semi-automated or automated indexing you should be using TokOpen Sorting Office.
